Cancellation & Refund Policy

1. Overview

At Joy Kane Visual Phonics, we are committed to providing high-quality Visual Phonics training for instructors. Our classes—whether online or in-person—require significant preparation and have limited seating to ensure a personalized learning environment. By registering for a course, you agree to the terms outlined below.

2. Deposit & Payment Structure

To secure your seat in any training session, a Non-Refundable Deposit is required at the time of booking.

  • Deposit Amount: The deposit is calculated as 50% of the total course fee, capped at a maximum of $50.00.
  • Remaining Balance: Any remaining balance is due by the date specified on your invoice (typically 7 days prior to the start of the course).
  • Purpose: This deposit covers administrative costs and materials preparation and is strictly non-refundable, except as noted in the "24-Hour Grace Period" below.

3. 24-Hour Risk-Free Grace Period

We understand that mistakes happen during booking.

  • Eligibility: If you book a course more than 7 days before the scheduled start date, you are eligible for a 24-hour grace period.
  • The Rule: You may cancel your registration within 24 hours of the time of purchase for a full refund to your original payment method, including the deposit.
  • Exclusion: This grace period does not apply to bookings made within 7 days of the course start date. In such cases, the standard cancellation rules (Section 4) apply immediately upon booking.

4. Standard Cancellation Policy

If you need to cancel after the 24-hour grace period has expired, or if you booked within the 7-day window, the following terms apply:

Cancellations made MORE than 7 days before the training start date:

  • The Non-Refundable Deposit (50% of fee, max $50) is retained by Joy Kane Visual Phonics.
  • Any amount paid in excess of the deposit will be issued as Store Credit.
  • This store credit does not expire and may be applied toward any future training session.

Cancellations made WITHIN 7 days of the training start date:

  • All fees paid (including the deposit and any balance) are fully forfeited.
  • No refunds or store credits will be issued.

Exceptions: In the event of a documented medical emergency or bereavement, exceptions may be made at the sole discretion of Joy Kane Visual Phonics. Please contact us immediately if such a situation arises.

5. Non-Attendance (No-Show)

Participants who fail to attend the training without prior written notice ("No-Shows") will forfeit all fees paid. No refunds or credits will be issued.

6. Cancellation by Joy Kane Visual Phonics

In the unlikely event that we must cancel a training session (e.g., due to low enrollment, instructor illness, or unforeseen circumstances):

  • Registrants will be notified immediately via email.
  • You will receive a full refund (including the deposit) to your original payment method.
  • Joy Kane Visual Phonics is not responsible for any travel or accommodation costs incurred by the participant for in-person training cancellations.

7. Transfer of Registration

If you are unable to attend, you may transfer your registration to another qualified individual within your organization, provided you notify us at least 48 hours prior to the event. There is no fee for transferring a registration.

8. Agreement & Disputes

By purchasing a training session, you acknowledge that you have read and agree to this Cancellation & Refund Policy. Filing a dispute or chargeback with your financial institution for a valid, non-refundable charge as defined here is a violation of these terms.
